Brief Description
General Summary
Manage Sponsored Programs Accounting outreach efforts including indentifying and employing innovative and effective communication methods and evaluating their success in broadcasting the intended message; developing and maintaining educational materials; and delivering training classes to principal investigators and administrators. Coordinate and/or provide direct support to new Principal Investigators (PIs) and department administrators to enhance their understanding of fiscal and compliance requirements related to sponsored projects as well as RIT accounting practices and procedures. Responsible for post award financial administration of grants and contracts for colleges and Research Centers.
Detailed Description
1. Develop proactive strategies to enhance the level of service provided to new PIs and department administrators. Provide hands on support to new PIs as they develop the knowledge required to ably administer their sponsored project(s).
2. Work closely with SPA staff located in the Colleges to ensure that new principal investigators: 1) understand what resources are available and who the primary point of contact is for requests and assistance regarding post award fiscal administration of their sponsored project (s); 2) regularly receive monthly statements and financial reports, information regarding their project-to-date activity, budget and other information; and, 3) have access to spending projections and receive a thorough interpretation of accounting information. Act as the primary point of contact and perform these functions for areas of the University, as needed.
3. Maintain thorough knowledge of RIT accounting practices and procedures, federal and state requirements, and sponsor guidelines including OMB A-21 and OMB A-110.
4. Propose, design, and develop effective educational materials to inform PIs and administrators about new and existing procedures, compliance requirements, and the fiscal administration of sponsored projects.
5. Disseminate communication materials to PIs and administrators through email, print, custom training and SPA website channels to enhance the understanding of sponsored program post award administration across the University. Manage the design and development of all communication channels, including the SPA website.
6. Evaluate effectiveness of the communication strategies and redesign the outreach plan elements for ongoing comprehensive communication with research community, including all educational materials (e.g. PI training manual).
7. Develop and analyze metrics to ensure effective outreach and communication strategies for PIs and administrators.
8. Manage SPA customer service database functionality to ensure information is captured to enhance service provided to PIs and administrators.
9. Make recommendations regarding possible changes or enhancements to processes based upon input from PIs. Ensure that management is informed of unresolved/open issues.

10. Provide excellent service to faculty and staff who are involved in the day-to-day administration of sponsored projects.
11. Act as primary contact with departments and PIs to answer questions regarding sponsored projects. Provide assistance to PIs and administrators with utilizing information available on monthly project statements and other financial reports required to manage sponsored projects.
12. Monitor all projects through monthly reporting; make adjustments as necessary; and resolve account deficits.
13. Review and approve invoices before they are submitted to the sponsor and prepare financial reports to sponsors.
14. Interact with various RIT departments external to the Controller's Office including Sponsored Research Services (SRS), CIMS, Budget, Procurement Services, Financial Aid, and Development regarding administration of sponsored projects including requests for grant and contract re-budgets and extensions, scholarships, and determining gifts-in-kind.
15. Perform other accounting and financial analysis tasks and participate in special projects as requested by management.
Job Requirements
BS in Accounting or Business Administration required, CPA or MBA preferred. Comprehensive knowledge of accounting principles and practices requiredwith four to six years experience, preferably in a not-for-profit or higher education setting. Hands-on post award grant administration experience preferred along with knowledge of Federal A-21 and A-110 guidelines. Excellent verbal and written communication skills required. Prior experience developing educational materials and internal communications and delivering training preferred. The ability to interact effectively and professionally with individual at all levels of the organization is required. Advanced knowledge of Microsoft Office Suite of products required; experience with an enterprise-wide financial applications software system preferred.

Additional Details
Reports to: The PI Mentor/Outreach Specialist is a member of the Controller's Division reporting to the Sponsored Programs Accounting (SPA) Assistant Director - Operations. Objectives will be accomplished through extensive interaction and close collaboration with SPA and Sponsored Research Services' staff, PIs, department administrators and Controller's Office staff.

Market Band: 37; Entry $36,200; Market $42,700
