Essential Duties 1. Serve as primary source of information on business procedures; answer routine questions and provide problem solving assistance. Answer business phone line and greet office visitors. 2. Check all routine business transactions submitted for completeness and accuracy. Research and obtain missing documentation. Process after approval. Instruct support staff on correct completion of routine business forms, including iExpense and SciQuest preparation of reports. 3. Collect temporary and student timesheets. Verify supervisor signatures, accuracy of time reported, hourly wages where appropriate and PTAEO. 4. Research and resolve vendor invoice problems. 5. Provide general office duties such as prepare cash deposits; open sort, review distribute mail; maintain financial records and files; coping; issue and record TANs, VIPs, copy machine codes. 6. Serve as contact involving facility services, repairs and maintenance. Respond to, and submit requests for services. Monitor results for workmanship and ensure resolution in a timely manner. Report and resolve concerns. 7. Maintain spreadsheets, and database records including equipment, service and maintenance, movable equipment, space. 8. Print and maintain distribution schedule of all monthly accounting statements using Brio Portal. 9. May assist staff, faculty and students with the completion of forms and perform other administrative and clerical functions as needed. Required Education and Experience 1. Four years of related work experience, two of them in the same job family at the next lower level, and high school level education; or two years of related work experience and an Associate's Degree; or an equivalent combination of experience and education. Additional Education and Experience 1. Preferred: Experience in a Business Office environment; Yale Oracle and financial applications. Skills & Abilities 1. Superior customer service skills. 2. Proven ability to work independently to prioritize and multitask, with meticulous attention to details and accuracy. 3. Excellent communication, organization and interpersonal skills. 4.
