Manager 3Original Posting Date 25-Aug-2011 STARS Requisition number 14030BR Department YSM Stu Affairs University Generic Title Manager 3 Bargaining Unit None Job Category Managerial & Professional Type of Employment Full Time Duration Type Regular (Min/Max)">Salary Grade(Min/Max) (Min/Max)">25 Work Week Standard - 37.5 hrs (M-F, 8:30-5:00) Work Location Medical School Campus Worksite Address 367 Cedar Street Position General Purpose/Overview of Responsibilities: Reporting to the Associate Dean for Student Affairs, direct and manage all administrative and operational activities related to registration and scheduling for the Yale School of Medicine (YSM), including providing a wide range of academic and administrative services to students, faculty, and graduates. Create and oversee the communications programs and responsible for oversight of student communications, programs, and special events and for the dissemination and oversight of policies and procedures for the Office of Student Affairs. Essential Duties 1. Direct the Registrar Office's services and operations, supporting approximately 500 students, with varying curriculum needs in each of four and possibly five years of their studies. Services include registration and creation of schedules, scheduling of clerkships, coordination of electives for Visiting Students and Yale Students, USMLE, residency information, billing the student tuition, MATCH, enrollment, and degree verifications, etc. 2. Develop strategies that draw upon emerging technologies to respond to changing student and scheduling needs. 3. Collaborate with other offices in the Department of Education (e.g., Admissions, Financial Aid, MD/PhD, etc.) to integrate and support student programs. 4. Ensure ongoing communication with students regarding the rigorous requirements of YSM in order for students to successfully navigate from matriculation to graduation and including the residency application and MATCH process. 5. Manage the Registrar Office staffing including two managers and three clerical employees. This involves hiring, developing, providing feedback, providing staff evaluations, training, and mentoring. 6. Oversee the ongoing evolution, implementation, and maintenance of the integrated computerized student records system and online registration system. Anticipate mechanization needs that will optimize processing of the many aspects of the Department's activities. 7. Responsible for fiscal planning and management of the Registrar function, including operations and staffing matters. 8. Work with administrators, faculty, and the Progress Committee to identify data and analysis needs to support the ongoing mission of the Student Affairs. Determine what data is relevant to a particular set of issues and either arrange for the collection of data or obtain data from existing resources, including various computer databases. Determine what statistical technique is most appropriate to a question, carry out analysis, and arrange for preparation of reports. 9. Oversee the design and evaluation of student programs and events including orientation, commencement, white coat ceremony, etc. 10. Develop registration policies and procedures consistent with the mission of YSM. Ensure the accurate monitoring and tracking of student graduation requirements. 11. Participate in the university-wide network of graduate and professional school registrars to keep abreast of university policies and best practices as they exist and change. Represent YSM at national conferences of registrars to share problems and best practices. 12. Update and maintain the student handbook, where the policies and procedures are available to the student body. Required Education and Experience 1. Bachelor's degree in relevant technical field and five years of related technical experience; or an equivalent combination of education and experience. Additional Education and Experience 1. Preferred: Master's degree; six years progressively responsible experience in higher education administration including program management with evidence of ability to work effectively with students, faculty, and staff. Proficiency and knowledge of computer systems, competency in working with integrated administrative software, software applications, reporting tools, and spreadsheet applications. 4.
