Reports to the department Chair and the Associate Director of Finance and indirectly reports to a Lecturer on Physics and the Director of Graduate Studies. Manages the graduate student payroll and appointment process for approximately 200 research assistants and teaching fellows. Counsels students on graduate student life issues, serves as liaison for students with faculty and administration and refers students to appropriate resources within the department and GSAS. Provides administrative support to the Department's Committee on Graduate Admissions and Committee on Higher Degrees. Assists in coordination of annual admission process. Completes oral examinations and thesis paperwork. Manages and compiles data for various awards and prizes, annual academic progress reports and internal and external surveys. Manages all admissions correspondence and outreach materials, organizes pre- and post-admission recruiting events, and coordinates student orientation and other graduate student activities. Keeps Physics graduate studies website up to date. Reviews and tracks reimbursement requests for graduate student travel. Performs other related duties as required.
Basic Qualifications Knowledge and use of Microsoft Word and Excel required. At least 5 years of administrative experience in an academic environment Additional Qualifications BA/BS degree preferred. Graduate program experience preferred. Highly developed interpersonal skills, including excellent customer service skills required. Must be empathetic and able to handle sensitive and confidential information with discretion. Must be well organized and proactive in work style, and possess excellent trouble-shooting and problem-solving abilities. Ability to work effectively with constant interruptions. Ability to meet deadlines essential. Proven, acute attention to detail and follow-through, crucial. Ability to work independently and also be team oriented, essential. Knowledge and use of Microsoft Word and Excel required. Must be able to work overtime at peak periods throughout the year. Previous Harvard experience a plus.
