Executive Secretary
Key responsibilities include: providing telephone coverage, administrative assistance to Senior Management, the Human Resource Team and other departments within the company, and facilities support functions. Telephone, Reception and Mail:- Maintain a presence at the front desk; welcoming incoming employees and guests. - Escort guests to meeting locations.- Answer and route efficiently all incoming calls and respond to non-sales/general customer questions. - Responsible for distribution of all corporate, interoffice, and external mail; ensuring checks are delivered to the appropriate departments in a timely manner. Conference and Event Coordination:- Coordinate meeting schedules for all conference rooms.- Work with IT to coordinate AV equipment required or needed for meetings.- Provide for the set-up and breakdown of meetings.- Serve as point of contact for catered lunches.- Assist employees with determining conference services requirements. - Assist in the coordination, planning, setting up and breakdown of cutive Assistant: - May assist senior management with assignments as needed- Coordination of necessary signatures and routing of corporate documents- Schedule meetings and assist with related luncheons- Coordinate copies for executive reports/binders.- Coordinate design and production of documents as needed by managementAdministrative Support: - Maintain phone extension lists, employee in/out daily log, and mailbox areas as needed. - Update and maintain the Front Desk Procedural Manual. Train individuals as necessary for coverage or backup on duties.- Provide support to the HR department to include but not limited to database maintenance, spreadsheet updates, resume data entry, leave data form collection and birthday gift distribution.- Ensure recipients of incoming faxes and packages are notified immediately upon receipt and that faxes and packages are delivered to the appropriate person in a timely manner. - Assist with the shipping and tracking of packages and parcels and maintain appropriate FedEX supplies.- Translate data graphically in the form of charts, graphs, and tables as needed.- Create presentation materials in Power Point as needed- Organize and maintain reference library to include but not limited to newsletter, couriers, restaurants, and vendors. - Perform research via the Internet as neededFacilities Maintenance:- Maintain a professional workplace environment by managing the appearance of the reception area, conference rooms, pantries, kitchen, work rooms and all common areas. - Complete morning and evening duties thoroughly and efficiently during appropriate times. This includes but is not limited to maintaining and stocking the pantries and kitchen, ensuring all copiers/fax machines have paper and straightening up each conference room daily. - Coordinate office supplies by taking inventory, submitting items for ordering, putting inventories away, stocking and maintaining office products to include peapod, flavia and soda inventories, and stationary paper products,. Ensure an effective rotation of stock so that items do not expire- Set-up new employee workstations- Maintain appearance of ladies room by stocking appropriate supplies cellaneous:- Other duties as assigned.
