The incumbent provides senior administrative support to the Senior Executive Director, Advancement Communications and Marketing in all matters relating to the smooth running of the Senior Executive Directors immediate operation and maintains excellent relations with the senior members of the DUA management team, other executive offices within the university and the Advancement and Communications Marketing team. The incumbent's primary responsibilities include: managing the Senior Executive Director's complex and heavy agenda and ensuring he/she is appropriately prepared for appointments, drafting complex communication materials/correspondence; liaising with senior administrative officers and setting-up of meetings as necessary; participating in briefing and debriefing sessions and handling any follow through activities as appropriate; ensuring a free flow of information between the Senior Executive Director's office, the DUA executive management team, the Advancement Communications and Marketing team and others at the University. (MINIMUM)
Education: University degree or equivalent combination of education and experience.
Experience: 5 years senior or executive secretarial experience in a communications and marketing and fundraising environment required. Knowledge of the University of Toronto and its policies is desirable. Experience in a fundraising capacity would be advantageous.
Other: Accurate 60 wpm typing; proven ability of Microsoft Office and all its applications; speed writing and transcribing an asset. Highly professional demeanor. Proven effectiveness relating to all levels of faculty, staff, students, and people external to the University. Ability to balance the competing demands of routine work with requirements of new priorities. Ability to pay attention to detail as well as maintain a broad perspective. Excellent oral and written communication skills; superior organizational and interpersonal abilities; initiative, diplomacy and tact; sensitivity to individual viewpoints and issues; ability to deal effectively with a variety of tasks; ability to frequently adjust priorities; attention to detail; solid analytical and proof reading abilities; able to work in team based results oriented environment. Some overtime required.
