Executive Assistant to the Director (PM1)- TERM
Title: Executive Assistant to the Director (PM1)- TERM Location: St. George (downtown Toronto) Other Locations: Reporting to the Director with dotted line report to the Administrative & Finance Manager, the Executive Assistant is responsible for the efficient and effective operation of the Director's office, including dealing with a range of administrative, academic and pubic relations responsibilities. The incumbent is the lead administrative contact in all interactions between the Director, the internal University community, and the external public health community; identifies problem areas with resolution either independently or in consultation with the Director; and provides advice and guidance to the Director on the policies and procedures relating to tenured/tenure-stream, CLTA, status-only and adjunct appointments. He/she reviews and categorizes all incoming correspondence (including correspondence relating to grievances and other labour relations issues), participates in the School's executive meetings that include discussion regarding overall strategy, reorganization scenarios and various academic and operational issues, and prepares summary reports of items discussed. The incumbent conducts research on a variety of issues as requested by the Director; prepares briefing notes and other documents; organizes and coordinates various School activities and special events; and ensures that all functions are managed with the highest level of professionalism and confidentiality. (Minimum)
Education: University degree or the equivalent acceptable combination of education and experience.
Experience: Minimum of five years' experience in a progressively responsible senior administrative role, preferably in an academic environment. Public relations experience is an asset.
Skills: Excellent oral and written communications skills; strong organizational and time management skills in planning, executing and completing tasks; strong interpersonal, relationship building and public relations skills. Excellent keyboarding skills with strong working knowledge of MS Word, Excel and PowerPoint.
Other: Demonstrated ability to exercise sound judgment, tact, discretion, and initiative. Ability to work under pressure with competing deadlines, pay attention to detail, as well as maintain a broad perspective and strict confidentiality. Demonstrated ability to maintain a high level of professionalism consistent with the service role of the Director's office and deal effectively with internal and external stakeholders.
