Description
Hospitality & Meeting PlanningPlan, manage, evaluate and flawlessly execute high quality hospitality events and business meetings including but not limited to Super Bowl, Daytona 500, NFL Combine, NBTA Reception, Sideline Specialists Training, NATA and Advisory Councils- Efficiently manage $900M budget- Event Planning / Destination Management competencies: DMC Agency Search & Capabilities Review / RFP Process / Proposal Evaluation & Budget Analysis/ Agency Selection & Contract Negotiations- Design and execute program strategies, tactics and timelines- Thoroughly research and present options and recommendation for venues, dcor, menus, entertainment and recreational activities.- Hotel Management (Contract negotiations, rooming lists, guest amenities & manifests)- Manage agency relationships and lead day-to-day execution efforts- Manage travel and destination logistics- Lead development of communication materials (including but not limited to invitations, agendas registration packets & signage)- Premium procurement (agency management, sourcing)- Identify and evaluate opportunities for program enhancements- Provide post-event program evaluations & recommendations for following years' plansManage food, beverage & dcor for Gatorade-owned suites:- Update and distribute written procedures for suite attendance- Present overview of suite layouts and dcor with plan for enhancements/upgrades- Efficiently manage $200M budgetTicket ManagementManage, inventory, distribute and audit all league and team tickets (NFL, NBA, MLB, NASCAR, NHL, AVP, MLS, WNBA, NCAA):- Manage the operations of Gatortix, an automated system that tracks and reports ticket inventory. - Oversee the manifestation of all ticket inventory into the system - Create and implement a distribution system that allocates ticket assets in a timely efficient manner - Ensure that post-event recording is inputted into the system- Serve as primarily contact to the Sales Organization to: - Communicate asset allocation in a timely manner - Understand the need for incremental tickets to marquee events and lead the effort to procure these assets - Ensure that post-event data is entered into the system by sales personnel- Provide monthly ticket utilization summary
Requirements:
- Project Management: Setting objectives, gaining team alignment, identifying and delivering against key milestones, and developing contingency plans - Agency Management: Point person for agencies in setting direction, giving feedback and day-to-day operations - Financial Management: Perform financial evaluations and analysis; manage 1.3MM A&M budget - Time Management: Prioritizing work load and multi tasking across several concurrent projects/events- 3+ years event management experience- Bachelor Degree- Demonstrated ability to develop & cultivate relationships; build consensus & influence business partners- Self starter with ability to work independently -- high sense of urgency and entrepreneurial spirit- Excellent multi-tasking, project management and prioritization skills, detail oriented- Ability to lead and work within team environment- Strong problem solving and sound business judgment; ability to anticipate issues and resolve them- Solid financial and analytical skills- Demonstrated ability to develop relationships and influence peers/key decision makers- Working knowledge of sports marketing industry including team, league and stadium operations.- Strong interpersonal skills, tact- Strong written & oral communication skills- Strong organizational skills & attention to detail- Proficient computer skills including Word, Excel & PowerPointScope/Dimension- Approximately 35% travel, including weekends and holidays. Travel ranges from one-eight days during event execution- High level of support and interaction with internal senior leaders- High level of support and interaction with external professional partners including professional athletes, agents, Athletic Directors, Athletic Trainers, Sports Science professionals, Sports Nutritionists, Senior marketing professionals from collegiate and professional sports teams and customers representing multiple retail channels.
