Title: Department Secretary (Payband 7) Location: St. George (downtown Toronto) Other Locations: Under the general supervision of the Chair, the Department Secretary is responsible for the production and distribution of the departmental bilingual (French and English) newsletter; provides general reception duties for the department answering inquiries from the public, students and faculty about French courses and programmes; helps administer the French placement test; sorts and distributes incoming mail; orders office supplies; responsible for maintenance of office equipment.
Provides bilingual secretarial services for the Departmental officers: Graduate Counsellor and Undergraduate Counsellor; provides backup to the Chair's Assistant and other senior administrative staff as required; prepares routine and non-routine correspondence.
Responsible for updating staff address list, e-mail distribution lists and bulletin boards; posts departmental events (conferences, colloquiums etc.) on the University's website; updates faculty members' publications for posting on the department's homepage; responsible for booking rooms for staff and meetings held at Odette Hall; updates graduate students' mailboxes; responsible for equipment inventory; keeps track of textbooks borrowed from the Resource Centre. (Minimum) Education: Two year post secondary diploma in business or acceptable combination of education and experience .
Experience: Minimum 2 years related office experience in a bilingual (French and English) secretarial position. Some knowledge of the University and experience with maintaining and updating websites is desirable.
Other: Excellent typing skills in both French and English. Experience working with computers (Word, MS Office, MS Office Publisher, Adobe). Excellent written and verbal communication skills in both French and English. Strong skills in editing and grammar/punctuation. Excellent organizational and time management skills. Demonstrated ability to handle heavy workload and ability to multi-task. High degree of tact, accuracy and attention to detail. Ability to work both independently and within a team environment with a commitment to quality service.
