The Business Coordinator for the Office of Out-of-School Time (OST) is responsible for directly supporting the overall work of OST, with an emphasis on administrative support, to ensure that all facets of OST priorities proceed. The position will provide overall administrative support OST and its priorities. This position requires a detail-oriented individual with the ability to proactively manage workflow and a complex schedule, facilitate communication and correspondence, and operate with considerable independence and discretion in a fast-paced office. The overall goal of OST is to expand opportunities for positive youth development through high-quality, affordable academic, wellness and enrichment programming outside of the traditional school day. Our vision is that the DCPS out of school time programs will be the premier model in the nation for providing accessible and engaging afterschool and summer programming, integrating out-of-school time activities with school day learning, and ultimately supporting overall student achievement. Bachelor's degreeQualifications
Bachelor's degree and 1-3 years work experience required, with master's degree and specific experience in project management preferred. . Previous experience in a public sector or start-up, fast-paced office environment strongly preferred. . Highly organized, process-focused individual with high standards for personal performance. . Provide administrative support to the Office of Out-of-School Time (OST) to increase efficiency and effectiveness, including but not limited to the following tasks: . Manage calendar of Director, Office of Out-of-School Time . Schedule, coordinate, and provide logistical support for OST staff meetings; take notes at meetings as requested; distribute and track follow up items. . Prioritize and organize incoming information, including mail, documents for signature, informational materials, phone calls and messages, and email. . Review and edit letters, memos, reports, emails, meeting minutes to ensure consistency in tone, message, and quality. Disseminate these documents to OST staff as needed. . Prepare and distribute correspondence to effectively communicate OST policies and procedures. . Arrange travel for OST staff. . Maintain records and files as needed. . Document time and attendance of OST staff. . Secure appropriate signatures and approvals, as needed. . Manage all procurement activities. . Demonstrate appropriate assertiveness in providing support to the OST director and managers. . Proactively prepare materials, prioritize information and internal and external activities, anticipate issues, present decision-making information, propose solutions. . Assist with tracking progress of key projects and initiatives within the OST; ensure proper follow-though on tasks, initiatives, and directives; flag key issues of concern. . Identify and resolve problems independently, in accordance with existing policies; exercise judgment and refer issue to manager or other staff as appropriate. . Respond to a variety of inquiries that require basic content knowledge and refers other inquiries to appropriate staff members and other offices, as appropriate. . Act as a liaison between OST and a variety of internal and external DCPS stakeholders including coordinators, parents, teachers, principals, DCPS leadership and internal staff, district government agencies, members of the community, and other partners . Serve as an initial point of contact and key resource for information requests related to OST programs. . Respond effectively in a timely manner to requests. . Facilitate communication between Director and OST staff about programmatic and procedural issues. . Keep abreast of various District of Columbia Public Schools procedural requirements and the necessary changes that accompany them. . Build relationships with OST staff and other DCPS departments to drive collaboration and project success. . Provide ad hoc analytic or research activities as requested. . Coordinate or implement several small or medium-sized projects, or components of a larger project. . Assist with overall office-wide procedures and day-to-day operations as requested (managing shared space, coordinating team calendars, facilitating support for IT issues, on-boarding staff, and maintaining shared office supplies and technology). . Provide ad hoc support to OST managers and other staff. . Work under extremely tight deadlines in a fast-paced environment with multiple responsibilities. . Maintain confidentiality of conversations, files, mail, facsimiles, folders and all other confidential documents (electronic and hard-copy). . Utilize Microsoft Word, Outlook, Excel, PowerPoint and Access to format executive memos, presentations, charts, graphs and tables for reports and presentations. . Support and carry out the Chancellor's mission to transform DC Public Schools and close the achievement gap. . Perform other related duties as assigned.
