NOTE: Position only open to employees currently permanent in the underlying Civil Service title of Clerical Associate. Position Summary: The Administrative Assistant, Teacher Effectiveness provides general administrative support to the Office of Teacher Effectiveness. Performs related work. Reports to:Director of Operations, Teacher Effectiveness Direct Reports:N/A Key Relationships:The Administrative Assistant works closely with the Director of Operations, Teacher Effectiveness; Office of Teacher Effectiveness staff; Division of Operations; Office of Business Operations; Facilities; Office of Contracts and Purchasing; and other internal and external offices, as needed. RESPONSIBILITIES * Support office requirements of Teacher Effectiveness staff, including space/seating allocations, network system access, business cards, payroll distribution, wireless/blackberry, and other needs. * Secure and track office equipment needs. * Coordinate meeting space and courier service, as needed. * Conduct quarterly audits of purchases to ensure compliance with Department of Education (DOE) Standard Operating Procedures. * Correspond with vendor partners regarding billing and payments. * Assist with all general office support activities, as directed. Qualification Requirements: Minimum A four-year high school diploma or its educational equivalent approved by a State's department of education or a recognized accrediting organization and one (1) year of satisfactory clerical experience. Skills Requirement Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute. Preferred * Able to work under pressure, take direction, strategically manage multiple projects at once, meet frequent and changing deadlines, and provide follow-up. * Attentive to detail and highly organized. * Flexibility and comfort with adjusting to changing priorities. * Strong interpersonal skills; ability to build and cultivate professional relationships, work effectively with diverse groups. * Possess strong problem solving, organizational, and effective verbal and written communications skills. * Knowledge of DOE’s policies and procedures. * Familiarity with NYCDOE Systems including FAMIS, TRAC, and LCGMS. * Familiarity with the Internet and Microsoft Applications, e.g., Outlook, Word, Excel, and PowerPoint.
