If you would like confirmation that VUSD has received your completed application packet, contact Diane Walter at or email dwalter @isalia Unified School District Elementary School Clerk VISALIA UNIFIED SCHOOL DISTRICT Unit: Classified JOB DESCRIPTIONS Issue No. 1 Date: 7-96 Page 1 of 2 Reclass: 1996 Section: Clerical and Fiscal Services Job Title: ELEMENTARY SCHOOL CLERK RANGE: 40 Under the supervision of the Principal or designee, perform and coordinate varied and responsible secretarial and clerical functions relieving Principal or designee of clerical and routine administrative detail including making frequent contacts with parents, students and staff. Typical Duties: 1. Perform a wide variety of clerical work, including typing, reviewing, proofreading, filing and the recording of data on records; 2. Compile information and prepare reports and summaries, i.e., attendance and enrollment data; 3. Act as a receptionist to office visitors, initiate and receive a variety of telephone calls and provide information to parents, students, district personnel and public; 4. Establish and maintain a variety of files and records which may contain confidential materials; 5. Type from rough drafts and notes, prepare final copies of material which may involve the utilization of transcription equipment; 6. Operate a variety of standard office machines and equipment; 7. Compose simple form routine letters and memoranda independently with little supervision; 8. Receive, sort and distribute mail, distribute books, instructional material, equipment or supplies; 9. Maintain simple financial or statistical records, receive and process monies for daily bank deposits; 10. Assist with the preparation of requisitions and maintenance of inventory or budget records; 11. Collect, assemble, bind and staple reproduces materials; 12. Prepare and process input data for computer record systems and utilize the output reports in the operational functions; 13. Assist in maintenance of student records (cum folders, grade and test score positing, etc.); 14. Assist in preparation of bulletin boards, displays and other environmental presentations; 15. Administer first aid and seek assistance as needed; 16. Makes routine follow up contact with parents, students, school officials, etc.; 17. Assist in maintaining appropriate student behavior in an office setting; 18. Assist and support site secretary in all duties and functions in an Elementary School office as directed; 19. Assist registrar; prepare enrollment documents, verify incoming records and review immunization requirements, education levels, special needs, prepare and release transfer documents; 20. Assist in maintaining student attendance records, assist in verifying reasons for absence, admit tardy student to class, monitor student sign out log and verify adult authorization to remove students from school, compile attendance/enrollment reports. 21. Assist with maintenance of student records, maintain cum folders and emergency contact records, assist teachers with yearly parent/teacher conference scheduling; 22. Serve as the liaison with the Transportation Department in scheduling new students, arrange for bussing to other schools when applicable, follow up on parent complaints, items left on bus or other problems; 23. Serve as the liaison with Nutritional Services; review free lunch application forms communicating with parents, monitor lunch count, check students into cafeteria, maintain payment records, count and prepare money for deposit on a daily basis, supervise, train and substitute for the cafeteria cashier on these duties; 24. Assist in providing information in person and via telephone, take and relay messages for staff and students, schedule appointments, provide direction to new staff, parents and students, and parent volunteers, type and duplicate forms, compile the school newsletter, establish reports for staff, parent groups and maintain the files for each, keep the inventory of school supplies, materials, equipment and machines, supervise and monitor student office workers, inservice staff and student monitors on office machinery when needed, control the maintenance and operations of office machines (i.e., fax, computers, copiers, typewriters, ditto, etc.); 25. With the time constraints of nursing staff on site, daily applications of first aid, checking students for head lice, dispensing of medication and structured requirements (keeping logs and maintenance of student records) has now become a direct responsibility. When the nurse is on site, assist in retrieving student files and/or information when needed; 26. Act as a ?Safe Schools? monitor, checking to see that visitors who come on campus check in and out accordingly and disperse visitor or parent volunteer passes; responsible for the Emergency Response Radio (district wide) and school site two-way communications radios (such as dispatchers); 27. For those of us who are bilingual, all of the above require our direct assistance and increases the daily work load. The ability to interpret has become a vital part of the school site on an ongoing basis. Personal Characteristics: Should possess personal characteristics generally recognized as essential for good public employees including integrity, initiative, emotional maturity, dependability, courtesy, good judgement, and ability to work cooperatively with others. Position Qualifications: Knowledge of: Modern office methods, procedures and techniques; appropriate English usage, spelling, grammar, punctuation and arithmetical concepts; standard office machines and equipment including computer, data and word processing software; basic first aid techniques and procedures; appropriate human relations and student needs. Ability to: Perform general clerical work of average difficulty with speed and accuracy; make simple arithmetical calculations with speed and accuracy; communicate effectively in oral and written form; type at a net corrected speed of 45 words per minute; understand and carry out oral and written directions; operate standard office machines and equipment including computer; establish and maintain cooperative working relationships. Experience: One year of paid experience performing varied general office or clerical work; experience with students preferred. Education: High school diploma or equivalent, including or supplemented by course work in typing, record management and general office practices. Physical Abilities/Environment: Physically and mentally able to perform the essential duties of a position without hazard to themselves or others. Sit for extended periods of time; bend, kneel and reach to retrieve and file records; dexterity of hands and fingers to operate standard office equipment; see to inspect financial or statistical records and observe computer monitor; hear and speak at normal levels to communicate with others.
